Prior to location

WV drivers must meet two conditions: be at least 21 years of age and have had their licence for at least 3 years.

Woody Vans are approved to carry 4 people, which matches the inside sleeping capacity of the Woody Van.

If you wish to change your booking, please contact us directly either by phone (+33 (0)6 13 81 55 60) or by email at contact@woody-van.com. We will do our best to find a solution together. Regarding cancellations, the following are the terms and conditions:
· More than 60 days before departure, refund of the total deposit after deduction of €60 for administrative fees;
· Between 60 and 45 days before departure, refund of 70% of the total booking deposit; · Between 44 and 30 days before departure, refund of 50% of the total booking deposit;
· Less than 30 days before departure, the entire booking deposit will be kept by the Woody Van company.
However, when you make your bookings, you have the option of taking a cancellation insurance policy valid up to 7 days before you take your Woody Van. In this case, the total amount of the deposit will be refunded. This insurance is billed at €9 per day of rental. This amount, which cannot be reduced, is of course due in any case.

Whatever the chosen protection insurance, you benefit from insurance cover (ALLIANZ) and assistance (AXA) 24/7 in all countries not crossed out on the Woody Van’s green insurance card. You are covered by liability insurance for personal injury and property damage caused to third parties. You are also covered by comprehensive insurance for any damage you cause to the rented vehicle. You also benefit from personal cover. In the event of damage, you remain financially liable up to the amount of your excess. This amount depends on the insurance package you choose when you make your booking. You can find more information in our our general rental terms & conditions .

The amount of the deposit corresponds with the amount of your excess, depending on the package chosen at the time of booking. The deposit also covers any damage to the rented vehicle, fuel shortages on return of the vehicle, extra kilometres and any outstanding fines. If there are no additional costs to be billed, the deposit will be cancelled or refunded.

You can travel to all countries not crossed out on the rented vehicle’s green insurance card.

We are animal lovers at Woody Van. Therefore, you can bring your pet with you. However, in the event of damage caused by your pet during the rental of the Woody Van (e.g. gnawed and/or stained seat, animal smell on return, eaten kitchen utensils, marked or stained plastic, stains on the upholstery, scratch marks on the furniture or the floor, etc.), you will be billed for repairs or replacement and the deposit will be deducted. If you are travelling with your pet, the amount of the deposit is €2,500 regardless of the type of insurance package chosen at the time of booking.

In your Woody Van you will find all the utensils and crockery you will need during your holiday: plates, glasses, cups, cutlery for four people, two pans, a frying pan, a lemonade maker, a colander, a peeler, a coffee press, a chopping board, a paring knife, two tea towels, and a container of ecological washing-up liquid.

In addition to your luggage (be careful not to overload yourself on a road trip; it’s really not necessary … laundry can be a source of endless headaches! Trust our experience…), you must provide us with: · A valid identity document (National ID card or passport); · Your valid driving licence as well as for any additional drivers; · An original proof of address less than 3 months old (e.g. water, electric, or phone bill); · A means of payment either in cash for an amount less than €1,000 (limit imposed by the French tax authorities) or by credit card to pay the balance of the WV rental; · A credit card to pay the deposit (this is a pre-authorisation by bank imprint, which will not be debited from your account).

To make your holiday in a Woody Van a pleasure for the whole family, we advise you to: · Bring clothes for all weather, which can be unpredictable – the famous four seasons of summer! Also bring warm clothing, rain coats and wellies with you; · Book your activities in advance; · Do your research before you leave: Depending on the destination you’ve chosen, we are here to help you and give you advice on the places and things not to miss during your stay. We’ll give you a personalised roadbook when you pick up your vehicle; · Plan your overnight stops: We’ll give you some valuable tips on how to spend your nights safely and quietly; · Bring lots of things along to keep your children entertained: Bring light items such as books, colouring books, playing cards, small action figures (Playmobil® /Lego®, etc.); · Pack essentials: taking a van holiday is not like going camping or staying in a flat or a hotel. It’s an opportunity to get back to the basics and eliminate unnecessary things; The van is paradise for children: the joy of sleeping under the stars in the pop-up roof, the pleasure of discovering wild and unusual places, the joy of discovering a new way of travelling. So many reasons to come and discover holidays in a WV…

A sponge, a small supply of basic provisions (salt and pepper, oil, sugar, etc.), toilet paper, 30-litre bin bags, a rope and clothes pegs, a multi-purpose knife, a headlamp and a book to enjoy the peace and quiet in the great outdoors. If you did not request a bedding and/or towel kit when you booked, you will need pillows, a fitted sheet measuring 200 X 200, another fitted sheet measuring … X …, a duvet with a duvet cover for each bed or a duvet per person and towels (if possible, microfibre ones for faster drying).

You can pick up your Woody Van: · Directly at our premises located at 314 rue Larre Lore in Ascain (7 minutes from the motorway exit No. 3 Saint Jean de Luz Nord); · At the Biarritz or San Sebastian airport (additional charge, available when booking the vehicle). All you have to do is tell us your arrival time no later than one day before you pick up your vehicle. · At the train station in Biarritz or Saint-Jean de Luz (additional charge, available when booking the vehicle). All you have to do is tell us your arrival time no later than one day before you pick up your WV.

During your Woody Van holiday

Your Woody Van is a first category vehicle on the motorway just like passenger vehicles.

Don’t worry, we can provide you with a parking solution for your vehicle on our premises. You can leave with peace of mind.

You can carefully enter all car parks where the authorised height is under 2.05 metres. Please note: any damage to the roof of the vehicle will result in us keeping the full deposit paid at the time of booking.

It is strictly forbidden to smoke or vape inside your Woody Van. You could take advantage of this and get some fresh air during your stops to admire the beautiful landscapes during your trip… If the WV is returned with tobacco odours, a fixed fee of €250 will be deducted from the deposit in order to have the vehicle thoroughly treated by an independent and qualified professional.

In the event of a problem...

You should contact our helpdesk, which is available 24/7. You’ll find the number on your rental contract or on the summary sheet in the Woody Van’s glove compartment. You must also inform us of any damage within a maximum of 24 hours after the mechanical problem has occurred. We remind you that even if we provide you with a new vehicle, under manufacturer’s warranty, checking the tyre pressure, brake fluid, coolant, power steering fluid and oil levels are your responsibility as defined in the General Rental Terms and Conditions (G.R.T.C.). If the mechanical breakdown is caused by a lack of maintenance as defined in the G.R.T.C., you may be charged for assistance.

As in the case of an accident with your own vehicle, you are obliged to complete a European accident report. You’ll find one in the glove compartment of your Woody Van. This report is necessary even if your WV has no visible damage. Don’t admit your responsibility – it’s a matter for the insurance companies. Only fill in the contact details of all the persons involved without forgetting to mention any witnesses. Afterwards, you should contact our 24/7 helpdesk if the Woody Van is no longer roadworthy. You’ll find the number on your rental contract or on the summary sheet in the Woody Van’s glove compartment. You then have 48 hours to send us the European accident report.

You must take any necessary precautions to stop the damage and send us, within a maximum of 48 hours, a copy of your complaint filed (made to the appropriate authorities in the country where you’re travelling), the vehicle registration document and the vehicle keys. The procedure is detailed in our General Rental Terms and Conditions.

Returning from your holiday

Yes, if the vehicle is available, simply contact us by phone at +33 (0)6 13 81 55 60. We will agree together on the new terms for returning the vehicle. If your Woody Van holiday is extended, the rental supplement will be calculated according to the season and the initial options and packages validated at the time of the first booking.

Yes, it is possible. All you have to do is agree on a precise time of return no later than the evening before the return of your vehicle by calling us on +33 (0)6 13 81 55 60.

our Woody Van must be returned in the same state of cleanliness (inside and outside) as when you picked it up if you did not take the cleaning package option. Otherwise, a specific cleaning fee of €80 will be deducted from the deposit. The WV must also be returned with a full tank of petrol. If this is not the case, we will charge you for refuelling the vehicle at the rate of €2/litre of diesel as agreed in the General Rental Terms and Conditions.

If you did not opt for the cleaning package when you initially booked the vehicle (€80), you must return the Woody Van in the same state of cleanliness, both inside and out, as when you first picked it up. If you opted for the cleaning package, we ask that you return it in an acceptable state of cleanliness with due diligence. Additional charges may be deducted from the deposit in the event of stains on upholstery and mattresses, marks and/or scratches on interior plastics and linings, odours resulting from smoking inside the Woody Van or odours resulting from the presence of a pet.
